Getting Set Up With All The Tools

Email Signature

  1. You should have received an email to set up your new Kohva Google Email. If you did not, please let your manager know!
  2. Once signed in, you will need to update your email signature here.
    • Your Signature set up should look like the below image. You can leave the phone & calendly form fields blank. Make sure to send your manager a professional image of yourself so you can add it accordingly to the email signature. Make sure to click "Submit" when all the form fields are filled out. Then hold down your mouse and copy the entire email signature starting by clicking just above and to the left of your image and dragging your mouse down in a diagonal motion to the bottom-right hand side of the "rentvine" ombre box so everything is copied.

    • Go into your email settings --> See All Settings --> Scroll down until you see the Email Signature area and click "Create New". Name it PMW Signature and click "Create".
  3. Paste the email signature you copied over from the Resources page into your new email signaure. It should look just like it did on Resources.
  4. Next, set up your Signature Defaults by selecting the @propertymanagerwebsites.com email from the dropdown (if you don't see this one, please use the @kohva one). Select PMW Signature as the option for both New and Reply emails.

  5. Now, scroll to the bottom of the settings page and click "Save Changes".
  6. Lastly, send a test email to your manager to ensure everything looks and is working as expected.

Important Tools and Chrome Extensions You Will Need

  1. Slack
    • You should have received an email to your new @kohva email to set up your Slack account. Please download Slack here: Windows | Mac. Almost all internal communication will be done via Slack.
  2. Monday
    • You should have received an email to your kohva email to create your Monday account: rentvine.monday.com. Monday is our Project Management Software you will use to manage all of your website and miscellaneous projects.
  3. Pastel
    • You should have received an email to your kohva email to create a Pastel account: usepastel.com. We use Pastel to allow our clients an easy way to review their websites.
  4. Installing Atom for code editing.
  5. SEO Extension to check title tags, metas, and h1s.
  6. Wave ADA Compliance Checker for in-browser to ensure all our site pages are following the proper ADA rules.
  7. Grammarly for in-browser to ensure all emails have proper grammar and punctuation.
  8. Color ADA Compliance Checker to ensure all colors are done properly to AAA standards.
  9. Download Images that we already have the license to. You can provide this link to clients as well when they are looking to swap out images on their website. The ones listed here will not take up any of our daily allotted downloads.
    • To actually download the image, you will need to log into Bigstock. We only have 10 image downloads a day, so if you do need to use one, please let your manager know so we aren't taking them away from our designer.

How We Operate

  • PMW Core Values
    • There isn't a member of our team who doesn't fully embody all of these. We chose them based on our strengths as a team and client feedback we have received over the years. The loyalty one is huge for us. You can't have loyalty in the workplace if you don't provide a great place to work. So the expectation is we work hard & work to embody those values individually and also as a company and otherwise, just have fun! We love to have fun. For those in office, we do in-office Karaoke (sometimes with the full setup of guitars and drums) and have office parties just to get everyone together. We do taco Tuesday every week and have lunch together as a team. A group of us goes to play pickleball on Tuesday nights as a team. The important thing is that we enjoy what we do and who we work with, which is why we refer to ourselves as Familia. It is up to all of us to maintain these values and hold others accountable to implement these values as well.
  • We don't miss deadlines. All projects will have a deadline in Monday. In the case that you get sick or have an emergency, please let your manager know so we can come up with a plan to ensure we can get the site out on time and/or give the client notice if there will be an unforseen delay.
  • Communication is KEY. Always communicate with your team and with your manager to ensure everyone is on the same page. Overcommunicate when in doubt. Rule of thumb is to respond within an hour to your team asking you a question.
  • Customer service is what we do. We are known for our incredible customer service and it starts with you! You will be communicating with clients and it's up to you to ensure you are sending prompt emails back to clients (same business day if within operating hours, if possible). Use Grammarly to check puncutation and feel free to use Chatgpt as well to help write up emails.
    • Avoid using phrases like "I hope this email finds you well" and other phrases that may make it obvious you are using AI to write emails. We do want to keep it personable so ensure if you do use AI, to let the tool know the tone you would like it to write in.

When You're Developing

  • Every page must have one h1 and ONLY one h1 tag.
  • Every page must have a title & meta tag.
  • We use h1, h2, h3 title tags that target keywords people are searching for on Google (i.e. [City Name] Property Management, [City Name] Property Managers). If you see that in the content, it's placed there intentially to help the clients. Please always do your best to ensure those keywords remain throughout the content but ESPECIALLY the h1. We always need to explain it to the client's if they want to remove them, and if they still insist, we can change it. It's your job to know these SEO best practices and communicate them effectively to the client.
  • All images need alt tags for ADA Compliance. Try to ensure the image name and alt text is targeting an SEO keyword.
    • All landing pages HAVE TO have an image named after the keyword and with the keyword as an alt tag (ex. cityname-property-management.webp with an alt tag of CityName Property Management).
  • Test everything & be detail oriented. Always test your website for responsiveness, ADA compliance, and overall user experience (ensure all links are obvious), double check advanced feature setups, and cross reference the content added to the site versus the worksheet. Always ensure custom designs are done pixel perfect at the width of the Figma file provided ensuring all font sizes, spacing, bold, italic, etc. items are implemented as approved by the client. Ensure you are consistently putting out websites that exceed all of our client's expectations. If you ever have any questions about this, please let your manager know.   • Of course, there are more items than just these, but we will get into those during the website build instructions and getting into our build checklists.
